How MC3 Tech Labs collects, uses, and safeguards information.
Draft pending legal review
1. Who is responsible
MC3 Tech Labs is responsible for information we collect through this marketing website and through the ChapterConnect platform. Where your organization uses the platform to manage its members, your organization is responsible for the member data it enters; we process it on their instructions.
2. What we collect on this marketing website
When you submit the demonstration request or contact form, we collect:
- Your name and email address
- Your organization and chapter name, if you provide them
- Your organization type and approximate membership size
- Your current website address, if you provide it
- The areas of interest and message content you choose to submit
We also record the referring page and any campaign parameters, so we can understand which channel brought you to us. Instead of storing your IP address, we store a one-way salted hash of it, used only for abuse prevention. We never store the raw address.
3. What we do not collect
- We do not ask for payment card details on this website, and none can be entered.
- We do not use advertising trackers, cross-site tracking pixels, or third-party analytics that profile you across other websites.
- We do not collect member records through the marketing website.
4. How we use what we collect
- To respond to your enquiry and arrange a demonstration
- To prepare a quotation if you ask for one
- To keep a record of the enquiry for our own business records
- To detect and block automated abuse of our forms
We do not sell your information, and we do not add you to a marketing list. If you ask not to be contacted again, we will stop.
5. Where information is stored
Form submissions are stored in a Cloudflare D1 database operated within our Cloudflare account. Cloudflare processes that data on our behalf. Where a submission is transmitted to an internal destination for follow-up, that destination is documented in our internal processing records.
6. Platform data
Data your organization places in the ChapterConnect platform — member records, events, communications, dues status, and governance records — is chapter-scoped and separated from other customers on the server. Passwords are stored only as salted key-derivation digests, never as readable text. Session tokens are stored only as one-way digests, and session cookies are marked HttpOnly and SameSite.
Secret-ballot choices are never written to audit logs. Where ballot secrecy is configured, individual choices are not exposed through administrative views.
7. Retention
Marketing enquiries are retained for as long as needed to serve the business relationship and then deleted. Platform data is retained for the term of your agreement and for the post-termination export window described in your order documentation.
8. Your choices and rights
You may ask us to access, correct, or delete the enquiry information we hold about you by writing to hello@chapterconnect.example. We will respond within a reasonable period. Requests relating to member records held in a customer’s workspace should be directed to that organization, which controls that data.
9. Security
We apply server-side authorization to every protected operation, keep secrets out of source control, and log security-relevant denials. No system is perfectly secure, and we describe our controls honestly rather than claiming absolute protection. Report a concern to security@chapterconnect.example.
10. Children
The platform is intended for use by organizations and their adult administrators. We do not knowingly collect information from children through this website.
11. Changes
We will update this policy as the product evolves and will revise the date above when we do.
